Reconciliation of receipts to fund raising sales should be performed at the end of each night by more than one person, preferably persons other than those involved in running the fund raiser.  Results for each nightly total should be recorded and initialed by both persons.  Unless the location has a safe, cash proceeds should be transported to a night depository or other recognized place of safekeeping at the end of the night.  A Fiduciary Control Policy should be developed and implemented to include, but not limited to:

  • Financial and cash handling procedures
  • Background checks on all new officers and members
  • Persons with close personal ties (i.e. relatives, business associates) prohibited from handling cash unless a third party is present
  • Procedures for frequent cash pick-up and accounting for large amounts of cash
  • Procedures of making bank deposits to limit the amount of cash on-hand
  • At least two people responsible for reconciliation and deposit of cash
